    Job Description

    This position is responsible for overseeing the Group Sales Department, growing the client database and securing group business to meet established monthly and annual Rooms and Food & Beverage revenue goals.  The position reports directly to the General Manager.  Interaction with all leadership is key to a successful performance.

    In all cases, this candidate must uphold the Vision/Mission and Values of Port Ludlow Associates.



    • 3-5 years of experience, preferably in the hospitality industry
    • Degree major in Hospitality Management desirable
    • Strong communication skills lending to collaboration with internal teams and external clients
    • College or hospitality training preferred with emphasis on critical thinking, guest services and business operations.
    • Corporate Meeting Planning, Event Planning and Hotel and/or Food & Beverage business desired. 
    • Attention to detail, sense of urgency and ability to manage internal & external deadlines
    • Strong Leadership skills required with goal oriented drive.  
    • After-hours networking and occasional weekends may apply.
    • Candidate must demonstrate good grammar, excellent spelling skills.
    • General office experience, PC and data entry skills with MS Office is necessary with willingness to learn internal software programs. 
    • Integrity and trustworthiness expected. 
    • Must exhibit a professional appearance and demeanor. 
    • Must be able to work as a team player with the Inn staff and PLA Managers and also work independently. 
    • Must have a valid Washington driver’s license.



    Direct Sales: 

    • Prospect, solicit and develop relationships with meeting planners, event planners and individuals to secure group business that will fit within the parameters of the business model of the resort.
    • Grow group sales business in rooms and food & beverage locally, regionally and nationally, developing long term relationships with planners.
    • Conduct pre-event and post-event meetings with clients.
    • Mine for business using all best practices including social media, industry organizations, trade shows.
    • Plan/attend/follow up on trade shows and familiarization trips.
    • Book and conduct site tours.
    • Work with marketing to target prospective markets (identified markets, industry membership lists, etc.) through online, email and snail mail marketing.
    • Work with Group Sales Team to creatively maximize and market Meetings and Retreats at The Resort at Port Ludlow
    • Strong organizational skills with attention to detail.  Must be able to prioritize work load and be efficient and fast, yet thorough.
    • Strong ability to multi-task and work expediently.
    • Work closely with Catering Sales Manager in group planning and overall event management once a contract has been finalized.  Catering Sales Manager becomes point of contact for all further details in planning. 
    • Maintain awareness of planning stages of Catering Sales Manager as needed, greet client onsite. 
    • Work with Group Sales Assistant in preparing contracts, data entry of membership & prospect lists for Group Sales Marketing efforts, supporting Group Sales team to drive Rooms and Food & Beverage revenue.  
    • Oversee and confirm billing of groups upon conclusion of programs.
    • Contract negotiation capacity.
    • Creative thinking for space management, themed events and budget management.
    • Clear understanding of product and services.
    • Maintain proper and complete files on all accounts in applicable database system and paper files.



    • Work in tandem with Executive Chef, Director of Food and Beverage, and General Manager to develop programs and offerings to promote to existing and prospect accounts/corporations.
    • Attend all scheduled meetings on site as defined through General Manager and other team members, including weekly BEO meetings.
    • Hotel product and industry knowledge, i.e., staffing, operations, safety, security, structural, health codes, hotel policies.


    Budget & Reporting:

    • Ensure rates committed are competitive and offer highest yield for the hotel to ensure maximum profitability.
    • Update & oversee weekly PACE Reporting.
    • Provide monthly reports (Action Plan).
    • Understand budget and manage it on a continual basis, including production of forecasted and actual group room and catering revenues.
    • Oversee Service Charge Reporting, ensuring accurate and prompt reporting to the Accounting Department.
